How to transcribe WhatsApp voice notes

Use WhatsApp’s built-in transcripts

On a supported iPhone or Android device, open WhatsApp → Settings → Chats → Voice Message Transcripts, enable the feature and choose a supported language. Then press and hold a voice note and select Transcribe. The wording can vary with your version.

WhatsApp says these transcripts are generated on your device. This is a useful starting point when you simply want to read a message without forwarding it elsewhere. See WhatsApp’s transcript guide for the official instructions.

If the option is missing, update WhatsApp and check its Help Center for your device and supported languages. Echo MSG is a separate way to receive text in a chat; it does not switch on WhatsApp’s native transcript setting.

Transcribe with Echo MSG

Echo MSG is a WhatsApp service that converts voice notes into text. You send the audio to Echo MSG, and it replies inside WhatsApp. There is no separate Echo MSG app or browser extension to install.

  1. Open Echo MSG on WhatsApp and send a greeting to start the chat.
  2. Find the voice note you want to transcribe. Use WhatsApp’s forward control and choose the Echo MSG conversation. You can also record a voice note directly in that chat.
  3. Read the text reply from Echo MSG. Longer notes can also receive a short summary and a clear action point when the note contains one.
  4. Copy the text into your own notes, an email or a task list. Check names, dates and numbers before acting on them.

You can use your existing personal WhatsApp account. You do not need your own business number, API account or software integration. You choose which messages to forward, including individual notes from a group conversation when sharing them is appropriate.

Use WhatsApp Web or desktop

If you spend most of your day at a computer, open your linked WhatsApp session and forward a voice note to Echo MSG using the message’s forwarding controls. Read and copy the text reply from the Echo MSG conversation. On a phone, the same workflow happens in the WhatsApp app.

Echo MSG does not add a transcription button underneath every voice note in WhatsApp Web. The result lives in its own chat. That distinction matters if you want an extension that changes the WhatsApp Web interface, or a system that automatically monitors incoming messages.

Understand privacy and storage

Forwarding a voice note to a service shares that audio with the service. Echo MSG processes audio in the cloud through its providers; it is not an offline, on-device transcription tool. Its Privacy Policy lists AssemblyAI for transcription and OpenAI for summaries and action highlights.

Echo MSG does not keep a stored archive of voice notes, transcripts or summaries in its own database after delivery. Temporary content files are deleted after processing, while account and usage information is retained to operate the service. Providers have their own data-handling practices, explained through the privacy policy.

The returned message can remain in your WhatsApp chat. That is different from Echo MSG keeping an independent searchable content archive. If audio must stay on your device, use a suitable on-device option. For work messages, follow your organisation’s rules and only forward content you have permission to share.

What about automatic transcription?

Echo MSG starts processing after you send or forward a supported message to it. It does not read all your other chats, collect every staff voice note or insert text beneath messages in other conversations.

If your goal is a shared searchable archive, automatic task creation or an incoming-message pipeline, that is a different workflow. Define which number receives messages, who may access the content and where results should be stored before choosing a business integration. Get a more useful transcript

  • Keep the original audio. A transcript is an aid, especially when names or technical terms matter.
  • Check unclear details. Background noise, overlapping speakers and unfamiliar terms can produce mistakes.
  • Test your language. Try a short representative note before making transcription part of a regular workflow.
  • Read the chat response. A usage limit or processing error may explain why you did not receive a result.
